We define personal data for the purpose of GDPR to include information pertaining to your name, address, date of birth, gender, email address, phone or contact number, marital status, gift aid or tax specific information and passport specific information (employees)..

  • Newcomers/members information.
  • HMRC gift aid information.
  • HMRC tax information (employees).

Newcomers: We ask for your data to enable us contact you, to keep in touch, inquire about your welfare and keep you informed of activities/services that you may be interested in. You have the right to opt out of such communication and to ask us to remove your data from our database.

Members/volunteers: We keep data from when you were a newcomer, and may ask for other data to enable us manage your membership. This will include such things as those detailed in the newcomer section above, information required to move you through our membership processes, assign you to a life group, enable you to participate in the workforce (including necessary due diligence checks), other membership processes, as well as information required to manage your giving with respect to gift aid.

We may in the course of conducting due diligence checks approach third party organizations or sources to help with verifying you. This includes DBS checks for those volunteering in the workforce and working with protected groups. For this purpose, we may exchange your data with the third party organizations to help us narrow our searches. Where any such processing (transfer/exchange of your data) occurs, we will ask you first.

We may perform statistical analysis of all data but when this is done we exclude personally identifiable data.

We have a regulatory obligation in relation to gift-aid to retain your data for a minimum of 6 years from the end of the accounting period to which it relates, after which time it will be destroyed. We may hold on to your data for an indefinite period where there may be legal ramifications for deleting the data.
All data relating to membership will be kept for no longer than a year from when you inform us you are no longer a member. Thereafter it will be destroyed unless we have your permission to retain it longer to keep you apprised of our activities.

We do not provide your data to third party organizations other than for completing our due diligence checks, meeting our regulatory and legal obligations, and obtaining services for managing the organization.
We are obligated to comply with child protection, charity, gift-aid, tax, financial crime, counter terrorism, and money laundering laws which may require disclosure and exchange of data as required by the regulations and authorities.

Your data may be stored and/or archived with a third-party storage provider in either physical or data file format for a period no longer than required by UK data protection laws. This may occur even after your relationship with us is concluded or terminated.

If you believe the data we process on you is incorrect, you have the right to see what information we have. You have the right to have your data corrected for inaccuracies or deleted where we no longer require the data or we do not have a legal or regulatory reason for retaining your data.
Your consent can be withdrawn thereby restricting us from further processing of your data where we no longer have a legal or regulatory reason for processing your data.
